Setting Up SMS Templates

Navigate to Settings → Communications
Click SMS Templates
Choose a template type:

- • Invoice sent
- • Payment received
- • Quote ready
- • Custom message
Customize the message (160 character limit)
Use variables like {customer_name}, {job_date}, {amount}

Sending SMS Messages

Manual SMS

Open any customer, job, or invoice
Click Send SMS
Choose a template or write custom message
Preview the message
Click Send

Automated SMS

Set up automatic SMS for:

Job reminders (day before at 6 PM)
Invoice sent confirmations
Payment received confirmations
Quote follow-ups (3 days after sending)
Review requests (day after job completion)

Enable automation in Settings → Automations

Monitoring SMS Usage

Go to Settings → Communications
View SMS Usage This Month
See breakdown:

- • Paid SMS sent
- • Current charges

Usage Resets Monthly: Your free SMS allowance resets on your billing date. Unused messages don't roll over. Plan your communications accordingly.

SMS Best Practices

Keep it short: SMS has 160 character limit. Be concise.
Include your business name: So customers know who's texting
Time it right: Send between 9 AM - 8 PM
Add value: Only send useful information (reminders, confirmations)
Allow opt-out: Include "Reply STOP to unsubscribe" on marketing texts

Troubleshooting SMS

SMS Not Sending

Check you're on Pro or Unlimited plan
Verify customer has valid UK mobile number
Ensure you haven't exceeded monthly limits
Check Settings → Communications for any errors

Customer Not Receiving

Confirm phone number is correct (07xxx format)
Customer may have blocked business messages
Some networks delay messages up to 5 minutes
Ask customer to check spam/blocked messages

Phone Number Not Showing

Allow 60 seconds after upgrade for provisioning
Refresh the page
Check Settings → Communications → Phone Numbers
Contact support if not visible after 5 minutes
