Set Up Recurring Jobs

Create automatically repeating jobs for regular customers. Set it once, jobs appear automatically in your schedule.

Setup Process (5 minutes)

Go to Jobs → Create Recurring Job

Click "Jobs" in sidebar, then "Create Recurring Job" button.

Set up the template job

• Customer: Who the job is for

• Service: What work you're doing

• Technician: Who does the work (optional)

• Duration: How long each job takes

• Notes: Standard instructions

Choose recurrence pattern

• Weekly: Same day each week (e.g., every Tuesday)

• Monthly: Same date each month (e.g., 15th of month)

• Custom: Every X days/weeks/months

Set start date and end date

When to start generating jobs and when to stop (or leave open-ended).

Save recurring job

Jobs will automatically appear in your schedule based on the pattern.

Time Saver:One recurring job setup can generate hundreds of individual jobs automatically.

Recurrence Pattern Options

Weekly

Every Tuesday, Every other Friday, Every 3 weeks on Monday

Best for: Cleaning services, lawn maintenance, regular inspections

Monthly

15th of each month, Last Friday of month, Every 2 months

Best for: HVAC maintenance, pest control, quarterly safety checks

Custom Interval

Every 45 days, Every 6 months, Every 2 years

Best for: Equipment servicing, certification renewals, deep cleaning

Common Recurring Job Examples

Office Cleaning

Pattern: Every weekday (Mon-Fri)

Setup: Weekly recurrence, generate Monday through Friday

Lawn Mowing

Pattern: Every 2 weeks in summer

Setup: Bi-weekly recurrence from April to September

HVAC Maintenance

Pattern: Quarterly service

Setup: Every 3 months, ongoing contract

Pest Control

Pattern: Monthly treatment

Setup: Same date each month (e.g., 15th)

Fire Safety Inspection

Pattern: Annual compliance

Setup: Every 12 months, renewal reminder

When you set up recurring jobs, Toolfy automatically:

•Jobs appear automatically in your schedule 7 days before due date

•Technicians get assigned automatically based on template

•Service address pre-filled from customer or job template

•Pricing locked in from original quote (no price changes needed)

•Invoice can be auto-generated on job completion

•Customer notifications sent automatically (if enabled)

Managing Recurring Jobs

Edit future jobs only

Changes apply to jobs not yet started. Past jobs remain unchanged.

Edit single occurrence

Change one specific job without affecting the recurring pattern.

Pause recurring job

Temporarily stop generating new jobs. Resume later with same settings.

End recurring job

Stop generating new jobs from a specific date onwards.

Best Practices

Plan ahead

Set up recurring jobs before your first service to avoid gaps in schedule.

Use templates

Create detailed service templates so recurring jobs have all necessary information.

Review monthly

Check recurring job list monthly to pause/end completed contracts.

Seasonal adjustments

Set end dates for seasonal services (lawn care ends in winter).

Customer communication

Let customers know about upcoming recurring services via automated reminders.

Billing for Recurring Jobs

Billing Options:

• Per-service billing: Invoice after each completed job

• Monthly invoicing: One invoice for all services in a month

• Contract billing: Upfront payment for multiple services

• Automatic payments: Set up recurring billing to match job frequency

Troubleshooting

Jobs not appearing?

Check the start date and recurrence pattern. Jobs generate 7 days in advance.

Wrong technician assigned?

Edit the recurring job template to change default technician assignment.

Need to skip a date?

Edit the individual job occurrence without affecting the recurring pattern.
