By signing up for Toolfy, you're agreeing to these terms. Think of this as our agreement about how we work together to help your business succeed.
Toolfy provides field service management software for small trades businesses (1-5 employees) including plumbers, electricians, heating engineers, gardeners, cleaners, and similar service providers. Our service includes customer management, job scheduling, invoicing, quotes, team management, and SMS/email communications. You may use our service for lawful business purposes only.
You remain responsible for:
Toolfy helps you organize your business but does not replace professional or regulatory compliance obligations.
You are responsible for maintaining the security of your account and password. You agree to accept responsibility for all activities that occur under your account.
Toolfy is a subscription service. You agree to pay all fees associated with your selected plan. Fees are charged in advance on a monthly basis unless otherwise specified.
Subscriptions automatically renew at the end of each billing period unless cancelled at least 24 hours before renewal. You can cancel anytime in your account settings or by contacting support.
Payment is processed via Stripe. You authorize us to charge your payment method for all fees. If payment fails, we may suspend service after reasonable notice.
We may change prices with 30 days' notice. Price changes apply to subsequent billing periods. Continued use constitutes acceptance of new pricing.
You are responsible for all applicable taxes. Prices are exclusive of taxes unless stated otherwise. VAT will be added for UK customers where applicable.
Contact us before initiating chargebacks. Improper chargebacks may result in account suspension. We reserve the right to charge fees for chargeback processing.
You may cancel your subscription at any time through your account settings or by contacting support. Cancellation takes effect at the end of your current billing period.
We provide a 30-day money-back guarantee for new subscriptions. Refunds for other circumstances are at our discretion and may be pro-rated for unused time.
Upon cancellation, you have 30 days to export your data. After this period, data may be permanently deleted in accordance with our data retention policy.
The service and its original content remain the property of Toolfy and its licensors.
You retain ownership of all data you input into Toolfy. We process your data in accordance with our Privacy Policy.
You may not use Toolfy:
You represent that you have obtained necessary consents for processing personal data through our service. You agree to comply with applicable data protection laws including GDPR and UK Data Protection Act 2018.
We strive to maintain 99.9% uptime but cannot guarantee uninterrupted service.
We target 99% monthly uptime for small business needs. Planned maintenance (typically during off-hours) is excluded from this calculation.
Our service integrates with Stripe (payments), Twilio (SMS), and Postmark (email). We are not responsible for third-party service outages or issues. These services have their own terms and privacy policies.
SMS functionality requires explicit consent from recipients. You are responsible for compliance with telecommunications regulations including UK Ofcom rules, US TCPA, Canadian CRTC, and Australian ACMA requirements. Dedicated phone numbers are subject to availability and regulatory requirements.
In no event shall Toolfy be liable for any indirect, incidental, special, consequential, or punitive damages, including lost profits, data loss, or business interruption, even if we have been advised of the possibility of such damages.
Our total liability to you for any claim shall not exceed the amount you paid us in the 12 months preceding the claim, or £500, whichever is greater. This reflects our focus on small business customers.
We are not liable for delays or failures due to circumstances beyond our reasonable control, including acts of God, war, terrorism, epidemics, government actions, internet outages, or third-party service failures.
We work hard to make Toolfy reliable, but like any software, we can't guarantee it will work perfectly 100% of the time. We provide the service "as is" - meaning we can't promise it will be perfect for every situation or never have any problems.
You're responsible for how you use Toolfy in your business. If something goes wrong because of how you used our software (not because of a fault in our software), that's your responsibility, not ours.
We may terminate or suspend your access immediately, without prior notice, for conduct that we believe violates these Terms.
Governing law depends on your location:
For US customers, disputes exceeding $1,000 may be resolved through binding arbitration via American Arbitration Association (AAA) under Small Business Rules. Small claims court remains available for eligible disputes under $5,000.

Where legally permitted, disputes will be resolved individually, not as part of class or representative actions. This does not apply where prohibited by law (e.g., certain Australian consumer rights).
Nothing in these terms limits consumer protection rights under applicable law, including Australian Consumer Law, Canadian Consumer Protection Acts, or US state consumer laws.
If any provision is unenforceable, remaining provisions continue in effect. Unenforceable provisions will be modified to be enforceable while preserving intent.
We reserve the right to modify these terms at any time. Changes will be effective immediately upon posting.
