The Basics

What Toolfy is: Software to help plumbers, electricians, and other trades manage customers, jobs, and invoices.

Who it's for: Small trades businesses with 1-5 employees.

What you pay: Monthly subscription that you can cancel anytime.

Your Responsibilities

  • Keep your trade certifications current (Gas Safe, Part P, etc.)
  • Make sure you have proper insurance
  • Follow Building Regulations and health & safety rules
  • Get consent before we send SMS messages to your customers
  • Use Toolfy for legitimate business purposes only

Our Responsibilities

  • Keep Toolfy running reliably (we aim for 99% uptime)
  • Protect your customer data with proper security
  • Follow UK data protection laws (GDPR)
  • Give you 30 days notice if we change prices
  • Provide customer support when you need help

Your Data

What's yours: All your customer information, job records, and business data stays yours.

How we use it: Only to provide the Toolfy service and improve it.

Who we share with: Payment processor (Stripe), email service (Postmark), SMS service (Twilio), and hosting provider (Vercel). Nobody else.

How long we keep it: As long as you need it, plus legal requirements (up to 6 years for some trades records).

What We Can't Promise

Like any software, Toolfy might occasionally have problems:

  • We can't guarantee it will work perfectly 100% of the time
  • Internet outages or other technical issues might affect service
  • We're not responsible if using Toolfy doesn't solve all your business problems
  • Maximum compensation if something goes wrong: what you paid us in the last year

Gas Safe Register: Keep certificates for at least 2 years

Electrical work: Part P compliance records as required

VAT records: We help organize but you're responsible for HMRC compliance

Health & Safety: Keep incident records for 3+ years
