Edit Customer Information
Keep customer information up-to-date with easy editing tools. Change contact details, update addresses, add notes, merge duplicates, and track all changes. Accurate customer data means better service and fewer mistakes.

How to Edit Customer Information
Method 1: From Customer List
- Go to Customers section
- Find customer (search or scroll)
- Click on customer name
- Click Edit button (pencil icon)
- Update any fields
- Click Save Changes
Method 2: Quick Edit
- In customer list, hover over customer row
- Click three-dot menu on right
- Select Quick Edit
- Modal opens with editable fields
- Make changes
- Click Update
Method 3: From Job or Invoice
- Open any job or invoice
- Click customer name
- Customer details panel opens
- Click Edit Details
- Update information
- Changes apply to all future jobs
Tip: Changes to customer information don't affect existing invoices. This preserves historical records. New invoices use updated information.
What You Can Edit
Basic Information
- 📝 Name: First, last, or company name
- 📧 Email: Primary contact email
- 📱 Phone: Mobile and landline numbers
- 🏢 Company: Business name if applicable
- 🆔 Customer ID: Your reference number
Address Details
- 🏠 Service address: Where work is performed
- 📬 Billing address: Where invoices are sent
- 🏢 Additional locations: Multiple properties
- 🗺️ Service zone: Area classification
- 📍 GPS coordinates: For rural locations
Billing & Preferences
- 💳 Payment method: Preferred payment type
- 📅 Payment terms: Net 30, due on receipt, etc.
- 💰 Tax status: Exempt or standard rate
- 🏷️ Discount: Standing discount percentage
- 📧 Communication: Email, SMS, or phone preference
Notes & Tags
- 📝 General notes: Important information
- ⚠️ Service notes: Gate codes, parking, pets
- 🏷️ Tags: Categories like VIP, commercial, monthly
- 👷 Preferred tech: Favorite technician
- 📋 History notes: Past issues or preferences
Adding Multiple Addresses
For customers with multiple properties:
- Open customer edit screen
- Scroll to Addresses section
- Click Add Address
- Enter location details:
- • Label (e.g., "Main Office", "Warehouse")
- • Full address
- • Set as default (optional)
- Save address
- When creating jobs, choose which address
Merging Duplicate Customers
Found the same customer twice? Merge them:
- Go to Customers
- Search for duplicate name
- Select both duplicate records (checkbox)
- Click Merge Customers
- Choose which record to keep as primary
- Review what will be merged:
- • All jobs combined
- • All invoices combined
- • Notes merged
- • Contact info from primary kept
- Click Confirm Merge
- Duplicates become one record
Warning: Merging cannot be undone. Double-check you're merging the right customers. All history is preserved but combined.
Bulk Editing Multiple Customers
Update many customers at once:
- In Customers list
- Select multiple customers (checkbox)
- Click Bulk Edit
- Choose what to update:
- • Add tag to all
- • Change payment terms
- • Update tax status
- • Assign preferred technician
- • Add note to all
- Enter new value
- Click Apply to All
Tracking Changes
See who changed what and when:
- Open customer record
- Click Activity tab
- View change history:
- • Date and time of change
- • Who made the change
- • What was changed
- • Old value → New value
- Filter by date range or user
Important Customer Fields
Gate/Access Codes
Add to Service Notes field. Shows on every job. Example: "Gate code: 1234#, Ring doorbell twice"
Do Not Service Notes
Add warning tag and note. Shows red alert on jobs. Example: "Payment issues - require deposit"
VIP Customers
Add VIP tag. Shows gold star. Set preferred technician. Add note about special treatment.
Commercial Accounts
Set payment terms (Net 30). Add PO requirements. Multiple contacts and locations.

- Verify before saving: Double-check email and phone numbers
- Keep notes updated: Add important interactions
- Use tags consistently: Create standard tag list
- Regular cleanup: Merge duplicates monthly
- Document preferences: Note how customer likes things done
- Update immediately: Don't wait to fix wrong information

Troubleshooting Edit Issues
Can't Edit Customer
- Check you have permission to edit
- Ensure not viewing archived customer
- Verify not in read-only mode
- Try refreshing the page
Changes Not Saving
- Check for validation errors (red fields)
- Ensure required fields are filled
- Verify internet connection
- Look for error message at top
Wrong Customer Showing
- Clear search and try again
- Check for similar names
- Use customer ID instead of name
- Look for merged records
Pro Tip: Add a "Last Updated" note when making significant changes. This helps team members know the information is current. Example: "Address verified 01/2025"
