Get customer signatures on job completion for proof of work and satisfaction. Customers sign on your phone or tablet, and the signature is stored permanently with the job record. Perfect for warranty claims, disputes, or quality assurance.

Why Capture Signatures

Capturing a Signature

  1. Open the job you're completing
  2. Tap Complete Job
  3. Fill in completion details
  4. Tap Get Signature
  5. Hand device to customer
  6. Customer signs with finger or stylus
  7. Customer taps Accept
  8. Signature saved with job

Tip: Clean your screen before getting signatures. A smudgy screen makes signing difficult and looks unprofessional.

What Customer Sees

  • Job summary: Service performed, date, technician name
  • Agreement text: "I confirm the work has been completed satisfactorily"
  • Signature area: Large white box for signing
  • Clear button: Start over if mistake
  • Name field: Type name (optional)
  • Accept button: Confirm and save

Customizing Signature Requirements

Make Signatures Mandatory

  1. Go to Settings → Operations
  2. Find Job Completion
  3. Toggle Require signature on completion
  4. Save settings
  5. Now jobs can't be marked complete without signature

Custom Agreement Text

  1. Go to Settings → Operations
  2. Find Signature Agreement Text
  3. Edit the text customers see above signature
  4. Example texts:
    • "Work completed as described. Payment due on receipt."
    • "I authorize the above work and am satisfied with completion."
    • "Job complete. 30-day warranty applies from today."
  5. Save changes

Best Practices

  • Explain first: Tell customer you need a signature for your records
  • Show the work: Walk through what was done before signing
  • Clean device: Wipe screen for easy signing
  • Landscape mode: Turn device sideways for more signing space
  • Stylus option: Keep a stylus for customers who prefer it
  • Print name too: Ask them to type name for clarity

Viewing Signatures

  1. Open any completed job
  2. Scroll to Completion Details
  3. See signature with:
    • • Signature image
    • • Customer name
    • • Date and time signed
    • • Technician who collected it
  4. Click signature to view full size

Signatures on Documents

Signatures automatically appear on:

  • Job sheets: Bottom of PDF export
  • Invoices: If job had signature, shows on invoice
  • Reports: Completion reports include signature
  • Customer portal: Customer can view their signature

Legal Note: Digital signatures are legally binding in UK, US, EU, and most countries. They're equivalent to handwritten signatures for business purposes.

When Customers Refuse to Sign

If a customer won't sign:

  1. Ask why: Address any concerns about the work
  2. Explain purpose: It's just confirmation work is complete
  3. Offer alternatives:
    • • Take photos of completed work
    • • Get email confirmation
    • • Note refusal in job notes
  4. Document refusal: Add note explaining why no signature
  5. Complete anyway: If settings allow completion without signature

Technical Details

Signature Storage

  • Format: PNG image, base64 encoded
  • Size: Typically 5-10 KB
  • Resolution: Adapts to screen size
  • Backup: Stored in cloud, never lost
  • Retention: Kept forever with job record

Troubleshooting Signatures

Signature Not Saving

  • Check internet connection
  • Ensure customer tapped "Accept" not just signed
  • Try landscape orientation for better response
  • Clear browser cache if using web version

Signature Looks Jagged

  • Normal on some devices - doesn't affect validity
  • Try slower signing motion
  • Use stylus for smoother lines
  • Increase screen brightness

Can't Find Signature Button

  • Only appears when marking job complete
  • Check Settings → Operations for signature settings
  • Ensure you have permission to complete jobs
  • Update app if using older version

Customer Wants to Remove Signature

  • Signatures can't be deleted once saved (audit trail)
  • Can add note explaining customer's concern
  • Can mark job incomplete and redo if needed
  • Contact support for exceptional cases

Pro Tip: Take before/after photos along with signatures. Photos + signature = bulletproof documentation. Customers appreciate the thoroughness.
