Performance review playbook for field service teams

Dreaded reviews become simple when you anchor them to data. Use this framework to run quarterly check-ins in under 30 minutes.

Prep (7 days out)

• Export Toolfy job stats per technician (jobs completed, average rating, callbacks, on-time arrival %)
• Ask tech to self-assess: “What went well? What was tough?”
• Manager notes: list 2 wins + 2 growth areas

During the review

1. Start with wins – cite Toolfy metrics (“98% on-time arrivals, best on the team”).
2. Address growth areas – use data, not feelings (“Callbacks at 5%; team average is 2%”).
3. Agree on next sprint – set two action items, log them as Toolfy tasks (e.g., re-training on invoice workflows).
4. Career discussion – map progress against the growth ladder.

Follow-up

• Email recap using this template:

I’ll check in on {{date}} to review progress.

• Add action items to Toolfy tasks and set reminders.
