Postmark deliverability guide for Toolfy invoices
If customers keep saying “never got the invoice,” check deliverability before blaming them. Here’s the checklist to keep Postmark (and Toolfy) sending clean emails.
1. Set up SPF + DKIM
- Log into your domain provider (GoDaddy, Cloudflare, etc.).
- Add Postmark’s SPF record:
v=spf1 a mx include:spf.mtasv.net ~all - Add DKIM (CNAME) from Postmark sender signature screen.
- Verification usually completes in minutes—refresh Postmark to confirm.
2. Use custom tracking domain (optional but nice)
- In Postmark → Servers → Settings, set a branded tracking domain (e.g., links.toolfy.io).
- Update DNS with the provided CNAME.
- This keeps click tracking links on your domain instead of mtasv.net, boosting trust.
3. Monitor bounces
- Toolfy timeline shows bounce reason instantly (“mailbox full”, “blocked”).
- Postmark dashboard → Activity → filter by Bounce for deeper detail.
- Fix the issue (typo, updated email) then flag the bounce as “resolved” in Postmark.
4. Handle spam complaints
- If someone hits “Spam”, Postmark auto-suppresses them. You’ll see a timeline alert.
- Switch to SMS/manual reminder until they re-subscribe.
- Don’t manually re-add them—Postmark will block it.
5. Warm up new domains
- Send a handful of high-quality, personal emails before blasting reminders.
- Keep open rates healthy by only emailing real customers.
Toolfy workflow
- Settings → Reminders → Email settings links directly to your Postmark server.
- System Status Banner flags Postmark outages.
- If you switch sending domains, update the help center branding + invoice templates too.
