Keep working when you lose internet connection. Toolfy stores essential data on your device so you can view schedules, complete jobs, and access customer information anywhere - even in basements or rural areas with no signal.
Enable offline mode
Offline mode requires installing Toolfy as an app first. Regular browser tabs don't support offline features.
- Install Toolfy as an app on your device (see installation guide)
- Open the app while connected to internet
- Wait for "Syncing offline data..." to complete
- Look for "Ready for offline" confirmation
- Test by turning on airplane mode
What works offline
Most day-to-day field work can be done without internet:
- View schedules: Today's jobs and this week's upcoming work
- Complete jobs: Update status, add notes, take photos, capture signatures
- Customer details: Contact info, service history, notes for recently viewed customers
- Recent invoices: View and download PDFs of last 30 invoices
- Job tracking: Start/stop times and basic time tracking
What requires internet
Administrative tasks need an active connection:
- Create new customers or schedule new jobs
- Send invoices, quotes, or SMS messages
- Process payments or view payment status
- Generate reports or change settings
- Add team members or view old records (30+ days)
Status indicators
Watch for these visual cues in the app:
- Green dot: Online and synced
- Yellow dot: Working offline
- Spinning arrow: Syncing changes
- Checkmark: Changes saved locally
- Warning icon: Sync conflict needs your attention
Automatic syncing
When internet returns, Toolfy automatically syncs your work:
- Detects connection within 5 seconds
- Uploads job updates, notes, and status changes
- Uploads queued photos in background
- Downloads new jobs and customer updates
- Resolves any conflicts if multiple people edited the same job
- Shows progress indicator until sync is complete
Keep the app open for 30 seconds after reconnecting to ensure full sync.
Best practices
Get the most from offline mode:
- Sync before leaving: Open app with good internet before heading out
- Review tomorrow's jobs: View next day's schedule to cache the data
- Check customer profiles: Open details for customers you'll visit
- Sync between jobs: If you get signal, let changes upload
- End-of-day sync: Connect to WiFi for full backup and photo upload
Data safety
Your offline changes are stored securely on device. Even if you close the app or restart your phone, changes are preserved until synced. We keep local backups for 7 days.
