Add line items and pricing
Break down work into clear items: materials, labour, equipment. Include detailed descriptions so customers understand what they're getting.

Preview the quote, add terms or notes, then email to customer. They receive a professional PDF with your branding.
Pricing strategy
Good pricing wins jobs while protecting your margins:
- Break down costs clearly: Separate materials, labour, and extras so customers understand value
- Include contingency buffer: Add 10-15% for unexpected issues or additional work discovered
- Research competitive rates: Know local pricing but don't undervalue your expertise and quality
- Explain premium pricing: If higher cost, explain why (better materials, warranty, experience)
- Offer multiple options: Basic, standard, premium levels let customers choose their budget
Quote status tracking
Track your quotes through the customer decision process:
- Draft: Created but not sent to customer yet
- Sent: Emailed to customer, awaiting their decision
- Viewed: Customer has opened and read the quote
- Accepted: Customer approved the quote - ready to convert to scheduled job
- Declined: Customer rejected quote or chose another contractor
- Expired: Quote validity period passed without customer response
Convert accepted quotes to jobs
When customers accept your quote, conversion is automatic:
- Customer clicks "Accept Quote" in email you sent
- You get immediate notification about the acceptance
- Click "Convert to Job" - all details transfer automatically
- Choose date and time from your schedule
- Assign to team member and job appears in your calendar
- Customer receives work confirmation with scheduled date
Following up on quotes
Professional follow-up improves your quote acceptance rate:
- Follow up within 2-3 days if no response
- Send polite reminder email with quote attached
- Offer to answer questions or adjust pricing
- Ask if they need changes or have budget concerns
- Set realistic validity periods (30 days standard)
- Track acceptance rates to improve future pricing
Common mistakes to avoid
Avoid these mistakes that cost you jobs:
- Vague descriptions: Be specific about work and materials
- Hidden costs: Include all potential costs upfront - customers hate surprises
- Unrealistic timescales: Give honest timeframes with buffer for delays
- No validity period: Always state how long pricing is valid
- Poor presentation: Use professional templates with your logo and contact details
Professional advantage
Customers prefer quotes with clear pricing, professional presentation, and easy acceptance process. Your branded quotes with integrated payment processing give you a competitive edge over handwritten estimates.
